JoinVet, Inc. ("JoinVet", "we", "us" or "our") operates the JoinVet telehealth platform for veterinary clinics, available at joinvet.com and related applications (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect

Information you provide to us

• Account information: name, email address, password, and role when you create an account.
• Clinic information: clinic name, address, phone number, and staff details when a clinic registers on the platform.
• Contact and communication data: phone numbers, messages, and communication preferences, including your consent to receive SMS text messages.
• Billing information: subscription plan, billing history and payment details. Payment card data is collected and processed directly by our payment processor, Stripe; we never store full card numbers on our servers.
• Pet and consultation data: information about pets, appointments, and consultations that clinics and pet owners enter into the Service.

Information collected automatically

• Usage data: pages visited, features used, and actions taken within the Service.
• Device and log data: IP address, browser type, operating system, and timestamps, used for security and diagnostics.
• Cookies: we use essential cookies to keep you signed in and operate the Service securely.

2. How We Use Your Information

• Provide, operate, and maintain the Service.
• Create and manage accounts, subscriptions, and billing.
• Send service communications such as appointment reminders, notifications, and account or billing alerts, including via SMS where you have opted in.
• Respond to support requests and communicate with you.
• Monitor usage, prevent fraud and abuse, and secure the Service.
• Comply with legal obligations.

3. SMS / Text Messaging and Mobile Opt-In Data

Where you have provided your phone number and expressly opted in, we may send you SMS text messages related to the Service, such as appointment reminders, consultation notifications, verification codes, and account alerts. Message frequency varies. Message and data rates may apply.

You can opt out of SMS messages at any time by replying STOP to any message you receive from us. After you send STOP, we will confirm your opt-out and stop sending you SMS messages. For help, reply HELP or contact us at info@joinvet.com.

4. How We Share Information

We do not sell your personal information. We share information only in the following limited circumstances:

• Service providers: vendors that process data on our behalf and under our instructions, such as Stripe (payments), Neon (database hosting), and telecommunications providers that deliver SMS messages you have requested. These providers may not use your information for their own marketing.
• Within your clinic: information you enter is visible to authorized members of your clinic according to their roles.
• Legal requirements: when required by law, regulation, legal process, or to protect the rights, safety, and property of JoinVet, our users, or the public.
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy.

For clarity, and as stated in Section 3, mobile opt-in data and SMS consent are excluded from any sharing with third parties or affiliates for marketing purposes under all circumstances.

5. Data Retention

We retain personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Billing records are retained as required by tax and accounting law. You may request deletion of your account and associated personal data by contacting info@joinvet.com.

6. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit (TLS), encryption at rest, role-based access controls, and signed webhook verification for payment events. Learn more on our Security page. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

7. Your Rights and Choices

• Access and correction: you can review and update your account information in your dashboard settings.
• SMS opt-out: reply STOP to any SMS message, or contact us to withdraw consent.
• Email preferences: you may opt out of non-essential emails using the unsubscribe link in those messages.
• Deletion: you may request deletion of your personal data, subject to legal retention requirements.

8. Children's Privacy

The Service is intended for use by veterinary clinics and adult pet owners. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date above. Material changes will be communicated through the Service or by email.
